The Executive Office of Health and Human Services (EOHHS) is seeking a dynamic individual to support a fast-paced HR administrative services unit. The HR File Room Clerk provides a variety of administrative tasks to support Human Resources operations and projects. The ideal candidate will possess a professional demeanor and exhibit an upbeat and energetic presence. This key role is responsible for general filing, assisting employees, completing administrative tasks and providing daily operational assistance. Our applicant must be able to exhibit exceptional customer service and communication skills.

Duties and Responsibilities (these duties are a general summary and not all inclusive):

  • Support HR file room operations and maintain digital filing system (OnBase), including but not limited to organizing, sorting, tracking, scanning, indexing, importing and distributing correspondences

  • Sort or classify information according to guidelines such as content, criteria, chronological, alphabetical, or numerical order to prepare for scanning and indexing

  • Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to agency, department or employee information

  • Inspect incoming documents/files in order to determine how and where they should be distributed, filed or indexed

  • Assist with daily service requests including scanning, photocopies, filing, collating documents, and stapling

  • Assist the unit in maintaining, distributing, and replenishing inventory of office supplies within the file room

  • Troubleshoot issues with office equipment (i.e. copiers, fax machines, and printers); inform supervisor when equipment is not working and/or is in need of repair

  • Assure daily maintenance of appearance, cleanliness, and organization of the file room

  • Provide ongoing administrative assistance and other projects as needed; may serve as backup for front desk phone support as needed

Preferred Qualifications:

  • Capacity to operate copiers, fax machines and other office equipment

  • Ability to accurately read, identify and sort addressed items

  • Demonstrated ability to work collaboratively with a wide variety of staff demonstrating personal initiative as well as the ability to work well in a team

  • Competency in performing multiple functional tasks

Physical Demands:

  • Lifting/carrying up to 25 lbs. and equipment operation

Qualifications

First consideration will be given to those applicants that apply within the first 14 days.

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) an equivalent combination of the required experience and the substitutions below:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*

* Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
